Administrative Assistant – Summary

Provides essential support to ensure the smooth operation of the office. This role involves managing communications, organizing schedules, handling clerical tasks, and serving as a liaison between Marketing, Sales, Operations, Installations, Vendors and Customers. The ideal candidate is detail-oriented, proactive, and skilled in multitasking.

Key Responsibilities

• Communication Management
  • Answer, triage and direct / respond to phone calls
  • Draft and distribute emails, letters, and reports
  • Act as the point of contact for internal team and customer
• Scheduling & Coordination
  • Organize and schedule appointments, site surveys, installs, inspections, and meetings
  • Take detailed meeting minutes and follow up on action items
• Office Administration
  • In person office presence
  • Order and manage office supplies
  • Process expense reports, receipts and invoices
• Data & Document Handling
  • Perform data entry and basic analysis
  • Prepare proposals and reports using MS Office tools
  • Assist with project tracking and documentation

Required Skills & Qualifications

Education & Experience

• High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
• 2+ years of experience in administrative or office support roles
• Familiarity with office management systems and procedures

Bonus Traits

• Experience with Hubspot CRM and or project management software
• Event planning or coordination experience
• Bilingual communication skills – Spanish
